1. Scope and operator
These terms set out the basic conditions for private concierge services provided by Eclaven under the JAPAN PRIVÉ brand. If an individual proposal or agreement differs, the individual terms prevail.
2. Service and formation of agreement
The scope, team, fees and term are tailored after consultation. An enquiry or initial consultation does not itself create an agreement. An agreement is formed only when the parties accept a formal proposal and its conditions.
3. Fees and expenses
Monthly fees, taxes, payment terms and duration are stated in the individual proposal. Travel, purchases, specialist fees, long-distance travel, late-night work, accommodation and other out-of-pocket costs may be additional. We explain these and seek approval where required.
4. Availability and urgent matters
The service does not promise continuous 24-hour or unlimited availability. Hours, priority service and initial urgent assistance follow the individual agreement. Where life or physical safety is at risk, contact police, fire or medical emergency services directly.
5. Regulated and third-party services
Legal, immigration, tax, medical, real-estate brokerage and other regulated or specialist work is referred to an appropriate professional or provider. JAPAN PRIVÉ does not itself perform work requiring a licence it does not hold. Third-party services are generally contracted directly between you and that provider.
6. Client responsibilities
Clients must provide accurate information and necessary documents, respond to approvals on time, and comply with law and applicable rules. We may refuse false, unlawful, abusive or rights-infringing requests.
7. Changes, cancellation and termination
Changes, appointment cancellation, duration, renewal and termination are governed by the individual agreement. Third-party cancellation charges and costs already incurred may remain payable.
8. Confidentiality and personal information
We handle confidential information appropriately and process personal information under our Privacy Policy. Disclosure may occur where legally required or reasonably necessary to protect safety.
9. Responsibility
We cannot guarantee decisions or outcomes of authorities, hospitals, banks, transport operators, professionals or other third parties, nor delays caused by events outside our reasonable control. Nothing in these terms excludes liability that cannot lawfully be limited.
10. Law and contact
These terms are governed by Japanese law. Disputes will first be discussed in good faith and, where permitted, resolved by a competent court in Japan. Contact contact@eclaven.com.
